Registration and Confirmation Procedures for SMART School of English
The digital SMART School of English Enrolment Form must be completed and electronically signed by the client. For non-adult students, a parent or guardian must also sign.
Course and Accommodation Package: If you have booked a Course and Accommodation package, we will confirm your booking within seven working days based on the availability of your chosen accommodation upon receipt of the Enrolment Form.
Flight Details: For airport transfers included in your package, full disclosure of flight details, including arrival and departure times, is required. SMART School of English is not responsible for any issues arising from undisclosed flight details, such as delays, missed flights, or additional expenses.
Payment of Fees:
- Course Registration Fee: €75
- Accommodation Administration Fee (adult bookings): €30
- Accommodation Change Fee: €50
Confirmation: Subject to availability, SMART School of English will issue a Confirmation Letter, a Proforma Invoice, and a Letter of Acceptance (if required for an entry visa) within two working days of receiving the Enrolment Form.
Payment Terms:
- Full payment of the total invoice is due at least two weeks before the student’s arrival date.
- If the enrolment is less than two weeks before the arrival date, immediate full payment is required.
- Flights and travel insurance will only be issued upon receipt of payment.
Cancellation Policy: Cancellations must be received in writing and are subject to the following fees:
- More than 7 days prior to arrival: €150 Administration fee.
- 1-7 days prior to arrival: 1 week tuition and accommodation fees, plus other applicable fees.
- No-shows or cancellations after arrival: No refund.
- Postponement: €150 fee, must be requested more than 7 days before arrival.
Other Terms: Partial weeks are considered as full weeks where applicable and on weeks where there is one Malta Public Holiday, there is no lesson make-up time except for private (one-to-one) courses. All cancellation charges are non-transferable.
Special Offers: Students booked on a special offer will be subject to the specific terms and conditions of that offer.
Visa Refusal: If a required entry visa is not granted, notify SMART School of English immediately with a copy of the refusal notice. Visa refusal is treated as a booking cancellation and the standard cancellation policy applies. A €50 fee applies for new visa documents for reapplication or appeal.
Refunds: Refunds will be made in the same manner and to the same person as the original payment. Bank or credit card charges incurred by SMART School of English for refunds will be deducted from the refund amount.
Accommodation: SMART School of English offers a range of accommodation options including Host Families, Residences, Shared Apartments, and Hotels. Special diet requests incur additional fees. A €100 deposit is required for Residences and Apartments, refundable upon check-out if no damages or pending charges exist.
Travel Insurance: All students must purchase Guard.me travel, health, and cancellation insurance, which covers medical and repatriation costs.

Public Holidays and Lesson Reduction: Public holiday lessons will be made up as much as possible. Lesson duration is 45 minutes. Reduced lessons apply if only one or two students are at a particular level.
Complaints: Complaints must be made during the course via email to info@englishsmartschool.com or in person at the school. Complaints after departure will not be considered.
Language Levels and Exam Preparation Courses: SMART School of English reserves the right to refuse admittance to examination preparation courses if a student’s level is deemed insufficient.
Attendance Policy: A minimum of 80% attendance is required to receive an end-of-course certificate.
Liability: SMART School of English is not liable for personal accidents, theft, loss, or damage of personal property. Any decisions by local authorities, including visa issues, are outside of SMART School of English’s liability. The maximum liability is the net amount paid by the client.
General Conditions: SMART School of English reserves the right to change lesson times, offer alternative accommodation, expel/repatriate students for unacceptable behaviour, and charge for damages. Terms and Conditions are subject to change.
Privacy and Data Protection: SMART School of English processes data in accordance with GDPR. By enrolling, students consent to data processing as necessary for service provision.
Jurisdiction: Disputes are subject to the laws of the Republic of Malta and the jurisdiction of the Maltese Courts.
